Microsoft Copilot and your brand: visibility mechanics

Microsoft Copilot names brands the same way it does everything else: it retrieves pages from Bing's index, composes an answer, and cites the sources it used. That makes Copilot visibility a Bing problem first and a content problem second. If BingBot cannot crawl you, Copilot cannot cite you, on Windows, in Edge, in Bing, or inside Microsoft 365. The distribution is enormous: analysts put Copilot at over 200 million active users, Microsoft reports more than 20 million paid seats, and nearly 70 percent of the Fortune 500 pay for Microsoft 365 Copilot. The engine that ships with the operating system
Every other AI engine has to earn a download or a bookmark. Copilot arrives preinstalled. It sits on the Windows taskbar, in the Edge sidebar, inside Bing, and inside Word, Excel, Outlook and Teams for every licensed seat of Microsoft 365 Copilot. That distribution strategy produced numbers that deserve more marketing attention than they get: 2026 adoption trackers put Copilot at over 200 million active users across Windows, web and mobile, with some monthly estimates running materially higher, and the mobile app alone has recorded roughly 88 million downloads.
The paid side is even more telling for anyone selling to businesses. Three years after launch, Copilot is the fastest-selling add-on in Microsoft's history.
In consumer surveys Copilot usually places third: PYMNTS found 30 percent of consumers who used a dedicated AI platform had used Copilot, behind ChatGPT at 83 percent and Gemini at 48 percent. But third place with operating system distribution and a lock on work hours is a strange kind of third place. How Copilot builds an answer: retrieve, generate, cite
When a user asks Copilot something that needs current information, the model does not answer from memory. It runs one or more internal searches against Bing, fetches relevant passages from the pages those searches surface, composes an answer from the retrieved material, and attaches the pages it used as citations. Microsoft's own documentation and publisher tooling describe this retrieve, generate, cite loop explicitly, and it is the same grounding pattern most engines use, covered in depth in how AI engines pick their sources.
Two details of Copilot's implementation matter for brands. First, the internal searches, called grounding queries, are rarely identical to what the user typed. Copilot's retrieval system reformulates the question into the search language it thinks will find sources. A buyer asks "is there an affordable tool that tracks whether ChatGPT mentions my brand" and the grounding query might read "AI visibility tracking tools pricing comparison". Your page has to match the reformulation, which is a reason to cover a topic in the plain vocabulary of the category as well as your own framing.
Second, analyses of Copilot citation data describe its retrieval as sequential rather than parallel: staged, iterative queries that go deeper when the first pass is insufficient, instead of fanning out across many searches at once. The practical consequence, visible in a Search Influence analysis of 20,000 Copilot citations, is that comprehensive single pages that resolve a question completely outperform clusters of thin pages that each hold a fragment. Being the second-best resource on a topic can mean zero citations.
Bing's index is the whole ballgame
Everything Copilot cites comes out of Bing's index, which makes Bing hygiene the unskippable first step. Verify your site in Bing Webmaster Tools. Submit your sitemap there, separately from Google Search Console. Use IndexNow to push new URLs, since Bing consumes it natively and fresh pages reach the index in hours rather than weeks.
Teams that have spent a decade optimizing exclusively for Google routinely discover gaps here. A site can rank well in Google while sections of it are thin or absent in Bing, because nobody ever looked. The single grounding layer is the strategic gift in this table. Google's AI surfaces, ChatGPT, Perplexity and Claude each require their own understanding of retrieval and citation behavior. Copilot's five surfaces share one: fix your presence in Bing and you have fixed it for the taskbar, the browser sidebar, the search page, the Office suite and the mobile app simultaneously. Few channels in marketing offer that kind of leverage per unit of effort.
The Microsoft 365 row deserves a highlight for B2B companies. The AI Performance report: the first native citation dashboard
On February 10, 2026, Microsoft did something no other engine operator had done: it shipped a publisher-facing dashboard for AI citations. The AI Performance report in Bing Webmaster Tools, launched in public preview, shows how often your pages are cited across Microsoft Copilot and Bing's AI-generated summaries, and, more valuably, the grounding queries that led to each citation. For the first time, a site owner can see the internal retrieval language an AI engine used before deciding to quote them.
The report has honest limits. It covers Copilot, Bing AI summaries and select partner experiences. It reports nothing about ChatGPT, Perplexity, Gemini, Claude or Google AI Overviews, so it is one engine's telemetry rather than an AI visibility measurement. It also counts citations of your pages, which is a different quantity from mentions of your brand: an engine can cite your blog post while recommending a competitor, and can recommend you while citing a review site you do not control. Used correctly, the report is a source of retrieval intelligence. Export the grounding queries your site already matches, then write the comprehensive answer pages for the adjacent queries you should match and do not. Because the queries are machine reformulations, they reveal category vocabulary you might never have chosen yourself, and that vocabulary transfers to how other engines search too.
What actually gets a brand named
Comprehensive single pages.The citation data rewards one page that fully resolves a question over five pages that partially address it. For each buying question you care about, build the page that a careful human researcher would bookmark: the direct answer up front, the evidence, the comparison, the caveats, the sources. Copilot's staged retrieval tends to stop when it finds sufficiency.
Evidence density.The Princeton GEO research found statistics, quotations and cited sources lift visibility in generative answers by up to 40 percent, and Copilot's behavior is consistent with that finding. Concrete numbers with named sources give the composer something safe to quote. Adjectives give it nothing.
Bing authority signals. Copilot preferentially retrieves what Bing already trusts: sites with real independent references, consistent entity information, and structured data that machines can parse. Third-party presence. Like every engine, Copilot often grounds category questions in review sites, comparison pages and community threads rather than vendor sites. If the sources Bing retrieves for your category never mention you, Copilot has no material to name you with. Earning an honest presence in the pages engines cite is slower work than publishing your own, and it compounds.
Measuring Copilot without fooling yourself
Copilot's answers are probabilistic like every generative engine's: the same question on different days, in different sessions, or from different accounts can name different brands. Checking once and screenshotting a mention is measuring a coin flip. A knowledge worker at a Microsoft shop spends the entire workday inside surfaces where Copilot is the resident assistant, and the disclosed behavior confirms the residency gets used: around 11 interactions per workday on average for enterprise users, two thirds of them daily users. Those are not idle chats. Drafting, summarizing, researching vendors, preparing recommendations for a boss: the questions that move B2B money flow through the assistant that lives where the work happens.
The realistic model for 2026 is segmentation by context. ChatGPT owns the personal default, the phone, the evening research session. Copilot owns a large and growing share of the professional context, imposed by IT departments rather than chosen by users, which makes it stickier than preference-based loyalty.
